1.PRIVACY POLICY & PERSONAL DATA NOTICE

Effective date: 27 January 2026

Who we are

  • This Privacy Policy explains how RNX Prime Engage LLP (“Prime Engage”, “we”, “us” or “our”) collects, uses, stores, shares and otherwise processes personal data through https://www.primeengage.in/, our event/championship registration pages, enquiry forms, booking and partner workflows, and related communications.

Scope and roles

  • This Policy applies to website visitors, people who contact us, participants and parents/guardians, customers, gaming-zone/FEC operators, venue and school partners, sponsors, suppliers and event personnel, to the extent their personal data is processed by us.
  • For a particular event or service, Prime Engage may act as the organisation deciding why and how personal data is processed. A venue, school, championship partner, payment provider or technology provider may separately act as an independent organisation or process data on our instructions. The applicable roles and responsibilities should be stated in the event-specific notice or partner agreement.

Personal data we may collect

  • Depending on the service and the event, we may collect only the information reasonably required for the stated purpose, including:
  • Contact and identity details: name, email address, mobile number, city, state, postal code and address where needed.
  • Participant details: date of birth or age category, school/college, class/grade, student or membership identifier, photograph and event category or skill information.
  • Parent/guardian details: parent or lawful guardian name, contact details, relationship to the participant and information needed to verify authority and consent.
  • Event and participation information: event selected, registration status, attendance/check-in, category, scores, rankings, results, qualification status, appeals and incident records.
  • Transaction information: payment status, amount, payment mode, transaction/gateway reference, invoice and refund status. Card, UPI PIN, password and other payment credentials should be handled by the payment provider and not stored by Prime Engage unless specifically required and securely authorised.
  • Safety-related information: emergency contact and limited medical or assistance information where necessary to safely conduct an event. Access should be restricted.
  • Media: photographs, video, audio, testimonials and recordings where the relevant notice and consent/other lawful basis permit their use.
  • Technical and usage data: IP address, device/browser details, cookie identifiers, pages viewed, approximate usage events, referral source and security logs, subject to cookie choices and applicable law.
  • Business enquiry details: organisation, designation, business contact details, requirements and correspondence.
  • The event dashboard field inventory also lists Aadhaar number, gender, detailed address, medical certificate, ID proof, birth certificate, school ID, travel/accommodation and meal preferences. These are not automatically required for every event. We will request such information only where it is necessary for a clearly stated event, eligibility, safety, verification or legal purpose. Aadhaar should not be collected as a routine field.

1.4. Marketplace & Booking Platform Data

  • When users submit birthday party, corporate event, gaming zone or venue requirements, we may collect event details and share relevant information with participating vendors, venues, gaming zones and service providers for quotation and fulfilment purposes.

Why we use personal data

  • To respond to enquiries and provide information about our services, gaming zones, FECs, partnerships and events.
  • To create and administer registrations, verify eligibility, manage event categories, schedules, attendance, results, rankings, prizes, certificates and refunds.
  • To communicate essential event information, including registration/payment confirmations, schedule changes, venue directions, safety notices and results.
  • To process payments, issue invoices, reconcile transactions and handle refunds.
  • To provide event safety, emergency assistance, incident handling, appeals and customer support.
  • To operate, secure, troubleshoot and improve our website, registration systems and services.
  • To measure website and campaign performance using analytics or advertising tools only in accordance with applicable consent and cookie choices.
  • To send optional marketing or promotional communications where the required permission or other lawful basis exists; recipients can opt out.
  • To meet legal, regulatory, accounting, tax, dispute-resolution and law-enforcement obligations.
  • Where consent is required, we will provide a clear notice before or at the point of collection describing the personal data requested, the specific purpose, how to withdraw consent, how to exercise applicable rights and how to raise a grievance. Consent choices must be voluntary, specific, informed, unconditional, unambiguous and indicated by clear affirmative action. Optional purposes must not be bundled with necessary event registration.
  • Where processing is permitted on another lawful basis recognised by applicable law, we will use the data only for that permitted purpose and provide any notice required by law. Withdrawing consent does not affect processing already lawfully carried out before withdrawal, and may mean we cannot continue providing a service that depends on the withdrawn data.

Children and participants under 18

  • Some Prime Engage events are intended for children. Where a participant is under 18, registration must be completed or authorised by a parent or lawful guardian, and verifiable parental consent must be obtained before processing where required by applicable law. We may request information reasonably needed to verify the parent/guardian and their authority.
  • We will not knowingly use children's personal data for targeted advertising or undertake tracking or behavioral monitoring of children, except to the extent a specific statutory exemption applies. We will not use a child's data in a way likely to cause a detrimental effect on the child's well-being. A parent/guardian may contact us to review, correct or request deletion of a child's information, subject to legal and event-record requirements

Cookies & Tracking Technologies

  • We use cookies, Google Analytics, Google Tag Manager, Meta Pixel, Google Ads conversion tracking, WhatsApp integrations and similar technologies to improve functionality, measure performance and support marketing activities.

Sharing and disclosure

  • We may share relevant data, on a need-to-know basis, with:
  • Event venues, gaming zones/FECs, schools, championship and operational partners, arbiters/judges, volunteers and event staff for registration, event delivery, safety and results.
  • Payment gateways, banks and payment service providers to process payments and refunds.
  • Website hosting, cloud storage, registration/CRM, analytics, email, SMS, WhatsApp and customer-support providers who support our operations.
  • Photographers, videographers, media, sponsors or promotional partners only where the relevant use has been properly disclosed and permitted.
  • Professional advisers, auditors, insurers, regulators, courts, law-enforcement agencies or government authorities where disclosure is legally required or necessary to protect rights and safety.
  • We do not authorise service providers to use personal data for their own unrelated purposes. Appropriate contractual, confidentiality and security controls should be put in place. The actual provider names or categories and relevant data-sharing arrangements should be disclosed in the event-specific notice where appropriate.

Cross-border processing

  • Some technology or communication providers may process or store data outside India. Any such transfer will be subject to applicable Indian law, government restrictions and contractual safeguards. Before publishing, Prime Engage should confirm the locations and transfer practices of its hosting, analytics, messaging and other providers.

Email & Marketing Communications

  • We may send event updates, promotional messages, newsletters and service communications. Users may opt out of marketing communications where applicable.

1.12 Security

  • We will use reasonable technical and organizational safeguards appropriate to the nature of the data and risks, such as access controls, role-based permissions, authentication, encryption where appropriate, secure transmission, backups, staff confidentiality, vendor controls and security monitoring. No online system can be guaranteed to be completely secure.

1.13 Retention and deletion

  • We retain personal data only for as long as reasonably necessary for the purpose for which it was collected, to provide the service, resolve disputes, maintain required business/tax/accounting records, protect safety and security, or comply with law. When the purpose ends and no legal or legitimate retention requirement remains, we will erase the data or take steps to make it no longer identify an individual. Data held by processors should also be deleted or returned as appropriate.
  • Prime Engage should adopt and follow a documented retention schedule for event registrations, payment/tax records, consent evidence, marketing leads, photographs/videos, medical/emergency records, access logs and backups. Do not publish a fixed retention period until the actual schedule has been approved.

1.14 Your rights and choices

  • Subject to applicable law and its commencement, an individual may be able to request access to information about processing, correction or completion of inaccurate/incomplete data, erasure, withdrawal of consent, grievance redressal and nomination of another person to exercise rights in specified circumstances. Requests may be sent to nilesh@primeengage.in. We may need to verify identity or authority before acting. We will respond within the period prescribed by applicable law.
  • You may opt out of promotional email or SMS using the unsubscribe/opt-out instructions provided, or by contacting us. Essential service messages about an active registration or event may still be sent.

1.15. Payments

  • Payments may be processed through Razorpay, UPI, Cards and other authorized payment processors. Payment information is handled subject to the applicable payment provider's policies.
  • Participants and/or guardians acknowledge that events may be photographed, filmed, livestreamed or recorded. Such content may be used for promotional, educational, editorial and marketing purposes.

1.17. Third-Party Services

  • Our platforms may link to third-party websites or services. Prime Engage is not responsible for third-party privacy practices.
